POSITION DESCRIPTION
PART TIME Development Coordinator
The Omaha Community Playhouse (OCP), the largest community theatre in the United States, seeks a qualified candidate for its Part Time Development Coordinator position. Duties include providing general administrative support for the Development Office as well as acting as the staff liaison between the ACT II support group and OCP. The position reports to the Development Director.
REQUIRED SKILLS/QUALIFICATIONS
- Superb communication/relationship building skills to effectively represent OCP in personal and written contexts, internally and externally
- High attention to detail, extremely organized and able to meet deadlines
- Must be self-motivated; able to work independently and with a team
- Must have a high level of integrity, enthusiasm, flexibility and energy!
- Ability to master fundraising computer software and maintain accurate donor records and correspondence. Understands and protects the rights of others when dealing with confidential information.
- Knowledge of Microsoft Windows and Office
- Some night and weekend work required
- A valid drivers’ license and ability to travel within the community with access to automobile/insurance coverage.
DESIRED QUALIFICATIONS
- Knowledge of Tessitura software
- Prior event planning, sales and/or volunteer coordinator experience.
JOB RESPONSIBILITIES
- Process all gifts made to OCP and the OCP Foundation. Create, copy, file and mail all donor correspondence. This includes all letters of acknowledgement, tax disclosures, invoices, and all gifts given to the Playhouse through ACT II and its events.
- Maintain all aspects of the donor database. This includes mailing and donor list upkeep, entering new donors, editing existing donor records, merging duplicate records, creating new mailing/donor lists and entering new gifts.
- Assist in coordination of all appeals and special event materials. Coordinate all bulk mailings and the volunteer mailing committee. This includes creating mailing lists/labels and any event invitations or other materials for all ACT II activities and ensuring all ACT II materials are submitted to the OCP marketing department for approval.
- Assist with all stages of donor recognition and fundraising events. Assist with all stages of ACT II events including set-up requests, set-up coordination, overseeing of the event and any clean-up duties. This includes overseeing ACT II Opening Night Refreshments.
- Provide updated donor information upon request. This includes reports on appeals, individual/corporate giving histories, lapsed donor reports, in-kind donations and more.
- Maintain Development Accounting Database including entering of all Purchase Orders and expenditures. Work with Development Director to keep Development expenses within budgets and at appropriate levels of donor stewardship.
- Submit bills and/or checks to and from ACT II treasurers and appropriate OCP staff. Process credit card gifts as necessary.
- Maintain Development filing system and Development Office supplies. Maintain ACT II Closet and supplies, including liquor inventory.
- Assist with all ACT II and Development meeting set-up, coordination and clean-up. Attend all ACT II meetings and events, all OCP staff and Development meetings, and all other meetings as duties require.
- Promote all OCP and ACT II activities as needed through curtain speeches and other public speaking occasions. Assist Development Director in maintaining Development portions of OCP website and supplying information for OCP e-newsletters.
